Product Overview — Quo (formerly OpenPhone)

Quo (rebranded from OpenPhone in late 2025) is an AI-powered VoIP and SMS business phone platform. It consolidates inbound calls, outbound calls, and text messaging into a single desktop and mobile app.

Central to Quo is Sona, an AI receptionist that answers calls 24/7 — qualifying leads, routing by intent, capturing contact info, and escalating urgent situations. For Sperry Tree Care, Sona handles overflow and after-hours calls so no estimate request goes unanswered.

Why Quo for Sperry Tree Care

Sperry's current number (541-461-1737) does not accept text messages, leaving a major response gap. Quo ports the existing number, enables SMS, and through Sona + Zapier creates a fully automated lead capture pipeline: call or text in → Sona qualifies → new service request in Jobber → contact enrolled in Kit email sequence. No manual entry, no missed leads.

Scope of Work

Four sequential workstreams. Quo subscription (~$46/month per seat) billed directly by Quo to Sperry Tree Care and is not included in this SOW.

Workstream 1
Account Setup & Number Configuration
✓ Port existing Sperry number (541-461-1737) to Quo; enable voice + SMS
✓ Configure 15 user seats; initial active users include Rob Miron (primary) and Michele Hatfield (admin/secondary)
✓ Set business hours, call routing rules, and ring order (Rob → Michele → Sona)
✓ Configure voicemail greeting and email-to-voicemail transcription
✓ Verify calls and texts live on desktop and mobile apps
Workstream 2
Sona AI Receptionist Configuration
✓ Design call flow: greet → qualify (service type, location, urgency) → route or capture
✓ Write lead qualification script for Sperry's service area (Lane & Benton Counties)
✓ Configure after-hours behavior: Sona captures, schedules callback, or escalates via SMS
✓ Urgent escalation flow (downed tree, storm damage) → immediate SMS alert to Rob
✓ 3 rounds of live call testing and Sona script tuning
Workstream 3
Zapier Integration Stack
Zap 1: Quo new call/contact → Jobber new service request (name, phone, service type from Sona transcript)
Zap 2: Quo new contact → Kit subscriber creation + "phone-lead" tag applied
✓ Deduplication logic: check existing Jobber client and Kit subscriber before creating new records
✓ End-to-end test with live calls: Jobber request created and Kit enrollment confirmed
Workstream 4
SMS Infrastructure & 10 DLC Registration
✓ File 10 DLC brand registration with The Campaign Registry (TCR)
✓ Register use cases: transactional (appointment confirmations), conversational (estimate follow-up)
✓ Write compliant SMS message templates for each registered use case
✓ Configure opt-in/opt-out compliance language and auto-replies (STOP / HELP)
✓ Monitor TCR approval (2–4 weeks); notify Sperry when SMS marketing is cleared
Note: 10 DLC approval is FCC/TCR-controlled and typically takes 2–4 weeks. Transactional SMS can begin immediately after number porting. Marketing SMS must wait for approval.
